I am committed to protecting the privacy and security of personal data.  This policy tells you how I will collect and use your personal data, and what you should expect in respect of the personal information about you that I have collected.

I am the data controller of the personal data that I keep and use, and I am therefore responsible for making sure that our systems and processes comply with the relevant data protection laws in respect of that personal data.

Collection, use and disclosure of personal data

I collect and process data for the following reasons:

1.    personal data collected and created in relation to providing services and products

2.    personal data relating to people who have asked to receive our newsletters and other information services or marketing materials

 

1.    Providing services to my clients and arrangements with my suppliers 

Information I collect:

I will collect names and contact information for my customers.  This will be done for the management of the professional relationship with my customers.

I may collect this personal data from you directly and additional personal data may be collected in the course of our marketing activities for marketing purposes. I do not intend to collect personal data from publicly available third party sources.

What I do with the information I collect:

I will use the personal data for the necessary administration of the relationship with my client, and to comply with requirements that I am required or recommended to undertake.  

Your personal data will exist of you name, contact details and invoicing details.  All personal notes taken during sessions will remain anonymised using a client number system.

I will only use your personal data when the law allows me to.  Most commonly, I will use your personal data in the following circumstances:

ï    in performance of a contract (the agreement by which I provide you with goods or services)

ï    compliance with a legal obligation

ï    where it is necessary for our legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests

I may also use your personal data in the following situations, which are likely to be less common:

ï    where I need to protect your interests (or someone else’s interests)

ï    where it is needed in the public interest or for official purposes

With whom I may share your data

I may share personal data with third party providers who deliver services to support the operation of our business and in respect of my customers with other advisors that I refer customers to for specialist services. I may also need to share your personal data to comply with the law.

In respect of all disclosures of personal data, I will only share the personal information which is necessary for the particular purpose for which it is provided, or where I have another legitimate interest in doing so, and I will ensure that the personal data is appropriately protected.

How long I will keep your data

I will keep personal data only for as long as is necessary to fulfil the purposes for which I collected it, including for the purposes of satisfying any legal, accounting or reporting requirements.  Normally, my retention period for personal data collected for this purpose is a minimum of 6 years after the end of the period that I am providing services.

2.    My website, other information services and materials marketing my business 

Information I collect

I will collect information such as name, email address, job title and the business that you work for together with the additional information that you provide to me, for example when you let me know which information you are interested in receiving from me.  I will collect personal data in my company management system when you tell me that you wish to receive updates, or otherwise give us your personal details.  You may at any time tell me that you wish to stop receiving my information.

What I do with the information I collect

Personal data will be used to provide you with my information that you ask for, or that I think is relevant to the preferences that you may have given to me.  I may analyse what areas of information are of interest to you so that I can better target the information that I provide.

I will only use your personal data when the law allows us to.  Most commonly, I will use your personal data in the following circumstances.

ï    with your consent

ï    where it is necessary for my legitimate interests (or those of a third party) and your interests and fundamental rights do not override those interests

With whom I may share your data

I currently use an email system provider to store and process data in respect of the provision of our information.  In respect of all disclosures of personal data, I will only share the personal information which is necessary for the particular purpose for which it is provided, or where I have another legitimate interest in doing so, and I will ensure that the personal data is appropriately protected.

How long I will keep your data

I will keep personal data only for as long as is necessary to fulfil the purposes for which I collected it. Any personal data that I have from you solely for the purposes of your receiving my information will not be used once you have asked me to stop providing these to you (except to the extent that it is necessary to stop you receiving the information).

3.    Changes to your personal data

It is very important that the personal information that I hold about you is accurate and current.  Please tell mw if your personal information changes during your relationship with me.

4.    Data Security

I have put in place measures to prevent your personal data from being accidentally lost, used or accessed in an unauthorised way, altered or disclosed.  In addition, I limit access to your personal data to myself and other third parties who have a business need to know.  They will only process your personal data on my instructions and where they have agreed to treat the information confidentially and to keep it secure.  I have put in place procedures to deal with any suspected data security breach and will notify you and the ICO of a suspected breach where I am legally required to do so.

5.    Where I store your personal data

I will not transfer personal data outside of the EEA unless personal data is adequately protected, as required by the GDPR.

6.    Your rights

Under certain circumstances, you have the right by law to:

ï    request access to your personal data.  This enables you to ask to receive a copy of the personal data that I hold about you and to check that I am lawfully processing it

ï    request correction of the personal data that I hold about you

ï    request erasure of your personal data

ï    object to processing of your personal data where I am relying on my legitimate interest and there is something about your particular situation which makes you want to object to processing on this ground.  You also have the right to object where I am processing your personal information for direct marketing purposes

ï    request the restriction of processing of your personal data

ï    request the transfer of your personal data to another party
